Meeting Minutes: July 11, 2019

All Board members and 9 other attendees were present.

The meeting was called to order at 6:30 pm.

  • An agenda was distributed.
  • Meeting minutes for the June 27th meeting were unavailable.
    • If no objection the Board will approve via email to get them published. Motion to amend. Seconded. Amended.
  • Discussion/Recap of Board Meeting with AD today.
    • The meeting was held in Seattle (near St. James Cathedral) with AD representatives
    • The meeting was relatively free form with no set agenda. Overall the tone was very positive.
    • The AD agrees that Holy Rosary Church has a significant value to the community
    • There is no real time line for making decisions and/or restoration activities at this point
    • The Knights of Columbus is a separate entity and can fundraise as they wish
  • Financial Report
    • A presentation and hand out detailing the online donations received was provided with donation dates, the amount (net and gross), if they are recurring, the city, state, zip code and a monthly breakdown. The total (net) for online contributions for April is $921.62, for May $299.81, for June $213.45 and the month-to-date unsettled July donations are $266.81 as of the 11th.
  • Virtual Tour Update
    • We got a demo! Everyone loved this! There are links to the doors, windows, alter and choir loft explaining the history of each part of the building.
  • Handout and Donor Card Update
    • We got to see new beautiful pamphlets that are being printed and will be ready in mid-July for distribution along with postcards, donor cards and envelopes.
    • Someone is working on a mailing list.
  • Logo and T shirt News:
    • Quotes were received for $6.50 – $7.50 depending on size and colors of shirt. We voted to purchase 60 assorted sizes and colors for up to $500.00 to be paid for out of the STLC funds. We hope to resell the shirts at $20.00 apiece.
    • A 4 by 12 banner is $125.00, or up to $189.00 for heavy duty
  • Challenge to Members:
    • We have all been asked to write and introduce ourselves to the Mayor and nearby council members to encourage their participation in our events, meetings and fund raising endeavors. 
  • Guidelines for Fundraising:
    • A member asked that we start a committee to develop standardized fund raising support materials, so anyone who is interested in hosting an event can be provided with an action plan and standard processes for tracking and accounting for funds as well as best practices for events.
    • Please request permission from the Board (email savetacomaslandmarkchurch@gmial.com) ahead of time to receive pre-approval for fundraising for STLC.
    • We will check into National Night Out to boost a fun raising event staged as a bloc party.
    • A discussion was held regarding the use of specific property (School property, Church property or City of Tacoma property?) based on an email from AD Representatives and potential use of public spaces in the City of Tacoma, including on required permits.
  • The meeting was adjourned at 7:50 pm.

  1. Sounds like your plans are rounding out well. But I have a question; what is the “AD”?
