Meeting Minutes: April 25, 2019

6:30 – 7:30 PM

Board members D.C. Grant, Joy Donohue and 9 attendees were present.

An agenda and April 11th meeting minutes were distributed.

  • The April 11, 2019 meeting minutes were reviewed. The minutes were approved with the amendment, “Thom is ready to go live” and the rest of that sentence deleted. Motion to amend. Seconded. Amended.

Report on Status of Licensing and Framework:

  • Corporate structure has been established.
  • 5013c to IRS has been filed for and paid, $275.00.
  • Unknown approval date.
  • DC donated personal funds to cover deficit of $90.00.
  • $40.00 went toward the IRS filing fee.
  • There is $50.00 balance in our account.
  • DC provided us with a statement of revenue and expenses.
  • Any donations can receive tax deduction retroactively from July 1, 2018.
  • We can inform donors we are a not for profit, state registered charity, pending IRS status.
  • Any donations made on the website are set for weekly deposits every Monday, minus any credit card fees. 10% will then be contributed to the Holy Rosary Parish General Fund.

Parish Council Update/AD Timeline Review and Update:

  • April 30th meeting with AD staff is still scheduled.
  • May 15th meeting is canceled due to collection of data delays. It has been moved to May 30th.

Maintenance of Church:

  • A review of water drainage problems was presented, with new information that the bridal room floor is wet and again leaking from the roof.
  • The only maintenance being done now is keeping the temperature at 60 degrees or above to prevent mold growth.

savetacomaslandmarkchurch.com / digital needs:

  • The website is live as of 2 pm on April 25th for the first time.
  • Thom e-mailed the link to Historical Tacoma.
  • He expressed the need for us to share the link with social media platforms.
  • Thom asked for more testimonials for the website. A paragraph on why you want Holy Rosary restored.
  • Joy volunteered to produce a Facebook page.
  • Logo needed. Contest among ourselves. Bring ideas to next meeting. Objective: clean, simple, useful in a variety of formats.

Fundraising/Advertising:

  • We are at the point of fundraising efforts to begin. All donations from the website will be deposited every Monday. (Added after the meeting): Mail a check to 2602 So. 38th Street #A-126 Tacoma WA 98409.
  • Discussion to structure fundraising with Carmen Palmer, a parishioner at Holy Rosary, whom is a fundraising professional. We would like to establish objectives and a budget. She will be invited to our meetings.
  • Costs of advertising on the back of bulletins discussed.

Communication Committee:

  • Thom moved to disband the Communication Committee for a more focused and experienced team of media coordination. It is approved by a majority vote.
  • Thom retains Chair by vote.
  • Joy Donohue volunteers.
  • DC volunteers as Editor.
  • Main objective is to produce press releases and complete press packets. Some suggestions are: Tacoma News Tribune, Washington Post (connection to writer from recent article suggested by Tim Faker) and Sacred Heart Radio.
  • The Board reminded us that they will take communication by ET AL directly.

Action Items:

  • Press packet review.
  • Logo graphic for Save Tacoma’s Landmark Church – bring your logo ideas to the next meeting!
  • E-mail all press contacts.
  • Board to follow up initial phone call to AP with an e-mail.

Our next meeting is May 9th at Our Lady Queen of Heaven at 6:30pm. We would like to meet every two weeks on Thursday.
