Meeting Minutes: May 30, 2019

All Board members and 10 other attendees were present.
 
The meeting was called to order at 6:30 pm.

An agenda and May 9th meeting minutes were distributed.

Review Meeting Minutes: Amend if necessary, vote on approval.

The May 9th, 2019 meeting minutes were reviewed. The minutes were approved with the following amendments: 3rd bullet, in the “Report on AD Movements” section be changed from “part time” to “for 8 hours a week”, in the “Anything to report on with the Parish Council” section, the1st and 5th bullet be deleted, in the “Fundraising Report” section “16 million” be removed and in the “Next steps in Fundraising” section the 3rd bullet point is to be deleted. Motion to amend. Seconded. Amended.

Progress on Fundraising Report

  • We have raised $1307.17.
  • A $50 check was hand delivered during the report.
  • A check was presented to the Holy Rosary Parish General Fund for $135.00.
  • A draft of campaign ideas was presented with goals, gifts, centennial celebrations, donor names and stories. Suggestions on how to approach prospective Catholic, social service, arts and architecture donors. Keep in mind fund raising costs. Floating pledges or in kind donations to a gift. Ideas for donor recognition included placards on pews, windows and steps, ornaments, choir concerts or a chance to ring the bell.
  • Holy Rosary is 100 years old. Let’s build on that celebration.
  • We would like to set our first goal at $1 million.
  • We would like to share the names of donors and their stories on our web site. We also thought that progress toward our goal (temperature check) would be nice to have, even if we have to update it manually once a week.

Logo Design

We decided to proceed with the logo design that was presented at the May 9th meeting.

Bulletin Advertising

  • We discussed and approved advertising in the church bulletins at a cost of $500.00 per year for Holy Rosary, St Joseph, and Visitation.
  • We are going to try adverting in “The Quad” churches for one year. We hope to engage with others that would be interested in attending our meeting and/or visit our web site.

Discussion about the Holy Rosary Meeting on May 29th

  • Any and every kind of chart that reflects our failings as a parish were presented by the AD. We had asked about our viability since the roof damage in November of 2018 and had continued asking that question. We found out in the meeting that that question had been answered in a “Quad” meeting in November.
  • We need $17.6 million to totally restore the church, $2.249 million to reoccupy the church and $6.691 million to reoccupy and fix the leaks in the roof.
  • The Deacon at Holy Rosary has the authority to remove members from the Pastoral Council and / or cancel the meetings.
  • Some people from Visitation Church came to the meeting because they heard that their parish may be up next for closure and they wanted to see how it was being handled at Holy Rosary.
  • Contractors and architects came up with the restoration figures.

Immediate Fundraising Ideas: Letter Campaign, Development of a Donor Database

  • The AD let us know STLC is a separate entity, and that we could fund raise.
  • Several people thought that finding a lawyer that would work Pro Bono would be a good idea.
  • Meeting attendees may start sub committees with their fundraising ideas.
  • Published donors will bring more donors.
  • Break down the project of restoring the church into smaller goals.
  • Ask AD if they will go forward with the project(s) if we were to stand behind our pledges or in kind donors (example – scaffolding or equipment).
  • Our Motto: Families built it and Families will save it.
  • Development of letterhead with logo and motto.

Brainstorm possible community driven fundraisers

  • Start reaching out to the media.
  • Tacoma is the number one fastest growing real estate area in the United States (Redfin).
  • TNT, South Sound Magazine.

The meeting was adjourned at 7:35 pm.

Our next meeting will be held on June 13th at the same time and place this meeting was held. Going forward, we have been given permission to hold our meetings at the Holy Rosary (CMC – Convent Meeting Center building). The June 27th meeting will held there from 6:30 to 7:30 pm with an invitation to arrive earlier at 6 pm.
